Templates
A template is a ready-made setup for one way of working. Instead of building lists, fields, boards, forms and automations yourself, you pick the template that matches your business and add it. Your whole team gets it at once.
Adding a template only ever adds. Nothing you already have is changed, renamed or deleted. If something goes wrong halfway, nothing you had is touched and you can safely try again.
Use cases
| Situation | Template to look at |
|---|---|
| You sell several products on one deal and want totals that add up by themselves | Products & deal lines |
| You hire people and want one board from application to offer | Recruitment |
| You run a clinic and want pets, visits and vaccinations next to their owners | Vet clinic |
| You bill by the hour and want budget against hours used | Projects & Time |
| You want a clean handbook your assistant can read | Wiki |
| You are a manufacturer or wholesaler and need orders, stock and production | ERP |
| The app looks empty and you want to see how it works with example data | Add any template with example records, then clear them later |
Before you begin
- Your workspace must be built on the standard CRM setup. Every template in the library builds on it. A template that needs another template first shows Add (name) first. on its card (see “Templates that need another template” below).
- Everyone on the team can open the Templates page and look at every template. Only an admin can add, update or remove a template, and only an admin can remove example data. An editor sees the message Only admins can add templates. Ask one if your team needs this.
- Some templates come with online forms, booking pages and portals. Those parts depend on the matching features being switched on in your workspace.
Find the Templates page
- Open Settings and choose Templates. You can also open the Features page and use the Templates card (“Start from a ready-made setup for your kind of business”).
- Each template is a card with a picture of its main board, a one-line benefit, and the number of views and charts it adds.
- Type in Search templates to narrow the list. The search looks at the template name and its three benefit lines. If nothing matches you see No templates match “…”.
- A card marked Recommended fits the industry chosen for your workspace. A card marked Added is already in your workspace. A card marked Update available has a newer version.
- Some cards have a small play button. It opens a short video of that template.
Preview a template
- Click any card, or its Preview link.
- A window opens with the template name, a Example data label and three benefit lines.
- A row of tabs shows each board or list the template adds, filled with example data, so you can see how it will look. If a board has nothing in it you see Empty for now. Your team’s records show up here.
- If the template adds charts, they appear under On the dashboard.
- As an admin you also see What gets added: a list of the objects (lists of things, such as Patients), fields and views that will be created. Each object is tagged New or Existing, with the number of fields or new fields. Views are tagged New or Back (a view that returns because you added the template before).
- If the template wants a field that you already have with a different setup, a yellow box Your own fields are kept names it, for example “notes” on Companies already exists and stays as it is.
- Nothing is changed by looking. Click Cancel (or Close) to leave.
Add a template
- Open the template as described above.
- Tick or untick the box Add N example records. It is ticked the first time you add a template. See “Example data” below.
- Click Add to workspace.
- A message confirms (name) added and the window closes. The new groups appear for your team.
If the template cannot be added you see Couldn’t add the template. Nothing you had was changed, so you can safely try again.
What a template creates
Everything below is taken from the template definitions. A template never creates more than what is listed in its preview.
- Objects (lists with their fields). A template adds new objects and, where it builds on one you have, extra fields on that object. For example, Recruitment adds Jobs, Applications and Interviews. Salon and spa adds Services, Appointments, Client cards and Gift cards.
- A group (a section in the sidebar) holding the template’s views: boards, tables, calendars and the like. Most templates add one group. Private equity adds four, Venture Capital three, and ERP five.
- A dashboard with charts, where the template has one.
- Automations (workflows) such as “ask for a call when a visit is missed”. Every template automation is switched on when you add the template.
- Forms, booking pages, document templates and portals (sign-in pages for your customers, tenants, members or candidates), for the templates that include them. Portals are created switched off. You choose when to turn one on from the Portals page, so no outsider can sign in before you decide.
- Example records, if you leave the box ticked.
Example data
- Example records let you see the template at work straight away. Their names carry a marker such as “[SAMPLE]” in your workspace language, so you can tell them apart from real data.
- Example records are added only once per template. If you remove a template and add it again, or update it, the examples are not added a second time.
- If a rule in the template refuses an example record, that record is skipped. The rest are still added.
- Untick the box to add the template empty.
Update a template
When the app ships a newer version of a template you have added, its card shows Update available.
- Open the card.
- Check What gets added. It lists only what is still missing.
- Click Update.
An update adds only what is missing: new fields, views, groups and automations. Fields, views and objects you renamed or edited stay as you left them. Automatic rules that came with the template and that you never edited follow the new version. Rules you added or changed are kept. Example records are not added again.
Templates that need another template
Some templates build on others. A template that needs another one cannot be added until that one is in place. Its card says Add (name) first. and the Add to workspace button is missing.
| Template | Needs first |
|---|---|
| Most industry templates | The standard CRM setup |
| ERP | Products & deal lines |
| Gym and personal training | Members’ club |
| Projects & Time | Wiki |
Add the required template, then come back to the one you wanted.
Remove a template
- Open the card of an added template. As an admin you see a Remove button at the bottom left.
- Confirm Remove (name)?. The text says: “Its groups are hidden for your whole team. All records stay, and adding it again brings everything back.”
- A message confirms (name) removed.
What removing does and does not do:
- It hides the template’s groups for the whole team.
- All objects, fields and records stay, including anything your team typed in.
- Automations, forms, documents and portals stay as they are. Turn off or delete any you no longer want from their own pages.
- Adding the template again brings the groups back as they were. It does not create them twice.
- You cannot remove a template while another added template depends on it, for example Products & deal lines while ERP is added. Remove the dependent template first. The page shows Couldn’t remove the template. Please try again. when this blocks you.
Remove example data
New workspaces start with example records, such as a company called “Tesla [SAMPLE]”, so the app never looks empty. When you are ready to use your own data you can clear all of them in one go.
The offer
As an admin, once your team has made 20 records of its own in the same objects that hold examples, a card appears: Ready to use your own data?
- It waits a few seconds after the last new record and never shows while a record or the create form is open.
- Remove example data starts the clean-up.
- Not now hides the card. It does not come back on that browser, but you can still do the clean-up from the Templates page.
From the Templates page
- Open Settings, then Templates.
- At the top, the Example data card says how many example records are still in your workspace. It shows only while examples exist, and only to admins.
- Click Remove example data.
- Confirm Remove example data?: “This removes N example records for your whole team. Your own records stay. You can bring them back from the Deleted Bin for 30 days.”
- A message confirms Example data removed. The card disappears.
What happens:
- Every example record from every template is removed, in every object, for everyone.
- Records your team made, even in the same lists, are not touched.
- Examples that a template locked are removed too.
- The examples go to the Deleted Bin and can be restored from there for 30 days.
- If it fails you see Couldn’t remove the example data. Please try again.
How it looks to your team
- The new groups show up in the sidebar and work like any other group: records, views, charts, comments and notes.
- Editors and other teammates can use everything the template added once they can see the group, but they cannot add or remove templates.
- Templates are shown in the workspace language where a translation exists. Danish, Finnish, Norwegian and Swedish translations are included for the library templates. Example records, group names, view names, fields, choices and automation names follow the language set for the workspace when the template is added.

Limits and defaults
- Only admins add, update or remove templates and example data.
- Only one template change runs at a time per workspace. If you click twice, the second request waits and then finds the work done.
- Example records are added once per template.
- Example data stays in the Deleted Bin for 30 days after removal.
- Portals added by a template start switched off. Template automations start switched on.
- The offer to remove example data needs 20 records of your own and is shown to admins only.
Troubleshooting
| What you see | What it means and what to do |
|---|---|
| Couldn’t load templates. Please try again. | The list could not be fetched. Refresh the page. |
| Couldn’t check what this template adds. Please try again. | The preview could not be prepared. Close and open the card again. |
| Couldn’t add the template. Nothing you had was changed, so you can safely try again. | Something stopped the install, for example another change was running at the same time. Wait a moment and click Add to workspace again. It continues where it stopped. |
| No Add to workspace button | You are not an admin, or the template needs another one first. Ask an admin, or add the template named on the card. |
| Add (name) first. | The template builds on another one. Add that one first. |
| Your own fields are kept | You already have a field with that name set up differently. It stays as it is and the template’s version of that field is skipped. |
| Fewer examples than the preview promised | A rule in your workspace refused some example records. The others were added. |
| A teammate cannot see the new group | Share the group with them from the group’s own settings, as you would for any group. See Groups. |
| Template removed but its records are still there | That is intended. Removing hides the groups only. |
| Cannot remove a template | Another added template depends on it. Remove that one first. |
| The example data card has gone | There are no examples left in your workspace. Cleared examples can be restored from the Deleted Bin within 30 days. |
