Getting Started
This CRM workspace gives a small business one place to manage people, companies, opportunities, conversations, meetings, and follow-up. It is designed for the everyday sales journey:
outreach → meeting → proposal → closing
You can start with the ready-made sales structure, then adapt it as your business becomes clearer. The workspace is shared with your team, while groups, views, permissions, and private areas let you control who sees and changes each part of the work.
What you can do in the workspace
- Keep company, contact, deal, and task records together.
- Use groups to separate areas of work, such as sales, partners, or delivery.
- Use table, board, and calendar views to see the same work in different ways.
- Keep email activity, calendar context, meeting notes, and decisions with the related records.
- Add your own objects and fields when the standard sales process does not fit.
- Invite teammates with different workspace and group access levels.
- Extend the workspace later with imports, a mailbox, a desktop meeting recorder, the assistant, automations, or API/MCP connections.
The workspace is most useful when the information needed for the next action is stored in a field or task, rather than being hidden in a long note. For example, store a deal’s stage, value, owner, and expected close date as fields; use notes for the explanation and history.

Example: one customer from first contact to close
Imagine a small consultancy that contacts a company after an introduction.
- The founder creates a contact for the person and a company for the business. The contact is linked to the company, with an email address, owner, source, and follow-up date.
- After a positive reply, the founder creates a deal and links it to the company and contact. The deal starts in New or Qualification.
- Before the meeting, the founder checks the record and writes down the questions that need answering. After the call, the meeting notes or recorder summary is attached to the deal or contact after it has been reviewed.
- When a proposal is sent, the deal moves to Proposal or Negotiation. The value, expected close date, decision makers, objections, and next action are recorded as part of the opportunity.
- When the customer decides, the deal moves to Won or Lost. For a lost deal, record the reason so the team can learn from the pipeline instead of guessing later.
This structure means a teammate can understand the current situation without searching through personal inboxes or asking the founder to repeat the whole story.
Getting Started
What you need
Prepare the following before you begin:
- An email address you can open during sign-in.
- A current browser with permission to open the sign-in page and a verification window.
- The name of your business, team, or project workspace.
- The email addresses of any teammates you want to invite.
- A rough description of your sales process. A simple starting point is New → Qualification → Proposal → Negotiation → Won/Lost.
- If you are bringing in existing data, a copy of your spreadsheet or export file. Keep the original file unchanged until the import has been checked.
You do not need to design the whole CRM before signing in. Start with the records and fields that help you decide what to do next, then add detail when the team has used the first version.
Create an account and sign in
- Open the CRM sign-in page.
- Choose the email sign-in option.
- Enter the email address you want to use and select Send verification code.
- Open the verification email and enter the six-character code.
- Select Verify code. The account is created when a new email address is verified; an existing account is signed in.
The code expires after 15 minutes. If it no longer works, select Resend code and use the newest message. There may be a short wait before another code can be requested. If the wrong address was entered, select Use a different email and start again.
Use the same email address later when accepting a workspace invitation. Do not send your verification code to another person or include it in a support request.
Understand the first-run setup
The setup screens depend on whether you already belong to a workspace.
For a new workspace, the usual sequence is:
- Let’s set you up — opens the guided setup.
- Getting started — collects your name, workspace information, country, currency, language, and optional company website.
- About you — asks for your role and industry.
- Your team — asks for team size and, for a team larger than one person, optional teammate invitations.
- Customer data — asks whether your data is in a spreadsheet, another CRM, another work-management tool, or nowhere yet.
- How you found the service — choose the closest answer; if you choose Other, add a short explanation.
- Workspace creation and preparation.
- Your contacts — optionally import contacts from a listed connection or from a CSV/Excel spreadsheet.
- Connect Your Email — optionally connect a mailbox and calendar.
- You are all set — confirms the parts completed and takes you to the dashboard.
Select Continue to move forward and Back to correct an earlier answer. The setup answers help choose starting defaults; they do not lock you into one sales process.
If you already belong to a workspace, you may see only the profile step and, when relevant, the email connection step. That is expected: the existing workspace does not need to be created or seeded again. If you want a separate workspace, use the workspace switcher and choose the create-workspace option.
Complete your profile and workspace details
On the first setup screen:
- Enter your first and last name if they are not already saved.
- If you are creating a workspace, enter a clear Company Name, such as
North Star ConsultingorAcme Sales. - Optionally enter the Company website. This is useful when the workspace should be recognisable by its business domain.
- Select your Country, Preferred currency, and Preferred language.
- Select Continue.
The workspace name must contain at least two characters. Choosing a country can suggest a currency and language. Review those suggestions before continuing because they affect the starting workspace preferences and currency formatting.
The person who creates the workspace starts as its administrator. That person can later manage workspace settings, invite members, and assign roles.
Tell the setup what your work looks like
The setup asks for the closest role, industry, and team size. The available role choices include Founder/Owner, Sales, Marketing, Support, Operations, and Other. Team-size choices range from Just me through 200+.
Answer as accurately as you can, but do not spend too long on these questions. They personalise the starting experience; they do not prevent you from adding different objects, groups, fields, or workflows later.
If you select a team size other than Just me, the setup shows email fields for invitations. You can select Add another, remove an empty row, or continue without inviting anyone. Invitations are optional.
The invitations collected during onboarding use editor-level access for the workspace and the groups that exist at that point. You can adjust access later from Settings → Members. If you need a viewer, administrator, or different group membership from the beginning, invite the person later from the Members page so you can choose those settings explicitly.
Choose your current data source and acquisition source
Choose the closest answer for where customer data lives today:
- Spreadsheet if your contacts or pipeline are in CSV or Excel files.
- Another CRM if you are moving from an existing CRM.
- Another work-management tool if the information is kept in a general project or database tool.
- Nothing yet - Fresh Start if you are starting with no customer data.
Then choose how people usually find the business, such as a website, search, social outreach, referral, or another source. If you choose Other, the short description is required.
These answers are saved as workspace onboarding information. They do not import data by themselves. Importing happens later on the contacts screen or from a group’s import/export controls.
Create and prepare the workspace
When you select Continue after the final setup answer, the system creates the workspace and prepares its starting structure. You may see a progress screen with Creating, Preparing, and Finalizing stages. Keep the page open until it moves to the next screen.
If billing setup is required for the workspace before it can be used, a payment step appears during this part of the flow. Follow that screen’s instructions. If the payment page reports that verification is incomplete, use its retry or enter-details-again option; the workspace and onboarding progress are designed to remain available.
A new workspace normally starts with a CRM template containing:
- Companies with a table view for businesses.
- Contacts with a table view for people.
- Tasks with a board view for work and follow-up.
- Deals with a Pipeline board, a List table, and sales dashboard charts.
The starting template also includes example records. Treat them as examples while learning the layout. Before using the workspace for real outreach, check that the records and stages represent your business and remove or update example information using the normal record controls.
Invite teammates
You can invite people in the team step or after setup:
- Open Settings → Members.
- Select Invite or the invite-member action.
- Enter the person’s email address.
- Choose their workspace role.
- If the dialog offers group access, select the groups they need and choose their role in each group.
- Select Send Invite.
Use the lowest access level that still lets the person do their job:
- Admin manages workspace settings, members, and workspace roles.
- Editor can work with workspace content and invite non-admin members.
- Viewer can read permitted content but cannot edit it.
- Guest is a limited membership used in some workspace or group situations; the access depends on where the person is added.
Only an administrator can invite another administrator or change workspace member roles. Only an administrator can remove another member. Any member can remove themselves, but the last administrator cannot be removed, leave, or be changed to another role until another administrator has been appointed.
Workspace access and group access are separate. A person may belong to the workspace but still need access to a private group before they can work there. A workspace-visible group may be readable by workspace members without making them editors of that group.
Bring in contacts, or skip for now
The Your contacts screen is optional. It can show:
- Import from a supported connection, which opens a connection flow and starts a contacts/companies import.
- Import a spreadsheet, which opens the CSV and Excel importer for the Contacts table.
- Skip for now, which takes you to the next setup step without importing.
A connection import may continue as a background task after it starts. A spreadsheet import is not complete merely because the importer opened: review the columns, mapping, and import result before treating the records as ready for sales work. See CSV & Notes Import for the full migration process.
Connect a mailbox and calendar, or skip for now
The Connect Your Email screen is optional. Select the mailbox connection button to connect a work mailbox and calendar, or select Skip for now. You can always connect later from Settings → Mailbox.
The first import choices are influenced by the team size selected during onboarding. For Just me and 2-10, the connection starts with a broader import suggestion. For larger team sizes, it starts more selectively and suggests excluding the company’s own domain and personal email domains. These are starting defaults, not decisions made for you. Review the import mode and advanced settings before approving access.
Finish setup and open the dashboard
The final screen confirms the parts that are ready, such as:
- Workspace created.
- Contacts import started, if you selected one.
- Inbox connected, if the mailbox connection succeeded.
- Invitations sent, if you entered teammate addresses.
- Workspace personalised for the selected role, team size, and industry.
Select Go to my dashboard. From there, open a starter group, inspect the records, and replace the example process with your real one. You can revisit workspace settings, members, groups, and connected tools at any time.
How to use it
Start a founder-led pipeline from a fresh workspace
- Open Contacts and add the people you are likely to contact. Include an email address, company, owner, source, lifecycle stage, and next follow-up date where known.
- Open Companies and check that each person is linked to the right business. One company can have several contacts.
- Open Deals → Pipeline and create an opportunity for a genuine sales opportunity. Link the deal to its company and contacts.
- Keep the deal’s Stage, Deal value, Deal owner, and Close date current. Use Description for the short business context and Lost reason when an opportunity is lost.
- After an email or meeting, add the important facts to the relevant record. Record the decision, objection, owner of the next action, and date of the next action.
- During a weekly review, move each deal to the correct stage and open the task board to see overdue or upcoming work.
Do not create a deal for every person you discover. A contact can remain a prospect until there is a real opportunity. This keeps the pipeline meaningful and helps the founder focus on active buying conversations.

Move from a spreadsheet without losing control
- Keep the original spreadsheet as a backup.
- Make sure each column has one clear heading, such as
First name,Last name,Email,Company,Stage, andOwner. - Remove obvious duplicates and test with a small copy of the file first.
- Open the Contacts or relevant group view and use its import/export controls.
- Review the proposed field mapping. Make sure names, email addresses, dates, numbers, selections, and relationships are going to the correct fields.
- Start the import and check several records in the workspace.
- Only after the results look correct, import the remaining data or proceed with the rest of the migration.
If the spreadsheet contains several related objects, such as companies, contacts, deals, and tasks, do not guess at relationship mappings. Use CSV & Notes Import or contact support for help before importing a valuable dataset.
Hand work from a founder to a teammate
- Invite the teammate from Settings → Members.
- Give them Editor workspace access only if they need to change records or notes.
- Add them to the relevant group and choose the group role they need.
- Open one active deal together. Confirm the company, contacts, stage, value, latest note, and next action.
- Ask the teammate to update the next action and owner so the handoff is visible to everyone.
Use group membership to keep the person focused. A salesperson working on active deals may not need access to internal operations or a private founder group. If they can see a group but cannot edit it, check both their workspace role and their group role.
Adapt the workspace to a different business process
Use the existing objects when they are close to what you need. Add a custom object when you are tracking a different kind of thing, such as implementations, partners, renewals, or events. Add a field when the information belongs on an existing record, such as contract type, lead source, renewal date, or product interest.
Then:
- Put the work in a dedicated group if it needs its own collaborators or visibility.
- Create a view for the daily working list and another view for review or reporting.
- Keep stages and status choices short and unambiguous.
- Store dates, owners, values, and statuses in fields so they can be filtered and reported.
- Keep explanations, decisions, and conversation history in notes and the record timeline.
This lets the workspace support a sales process that is different from the starter template without forcing the team to rebuild everything or learn technical configuration.
Build a reliable daily habit
At the start of the day, open the view that shows the next follow-up date or active deal stage. During the day, update the record after the conversation rather than relying on memory. At the end of the day, check for records with no owner or next action.
Once the basic process is working, add reports, assistant questions, automations, or API/MCP connections. These tools are most reliable when the underlying records have consistent owners, stages, dates, and relationships.
Troubleshooting
I did not receive the verification email
- Check the email address for spelling mistakes.
- Check spam, junk, quarantine, and company mail filtering.
- Select Resend code and use the newest code.
- Wait if the resend control is temporarily unavailable.
- Select Use a different email if the message was sent to the wrong address.
If the code is valid but sign-in still fails, keep the visible error message and the address used. Never send the code itself to support.
The code is invalid or expired
Use the newest six-character code. Older messages can contain codes that are no longer valid. If more than 15 minutes have passed, select Resend code and try again.
Setup returned to an earlier step
Onboarding progress is saved as the workspace is created and the flow advances. Refresh the page once and sign in again with the same account. If you belong to more than one workspace, check that the intended workspace is selected. Do not create a second workspace until you have checked the workspace switcher.
The workspace creation screen keeps loading
Keep the page open while the Creating, Preparing, or Finalizing status is visible. Check the browser connection and refresh once if the page has stopped changing. If a payment step appeared, complete or retry it before starting another workspace. If the error continues, record the workspace name and the message shown on screen.
I cannot create a workspace
Check that the name is not empty and has at least two characters. If you already belong to a workspace, use the workspace switcher to choose the existing one or start a separate workspace intentionally. If the account or plan prevents creation, ask an administrator to review the account settings.
A teammate did not receive an invitation
Check the address in Settings → Members, then resend the invitation if the control is available. Ask the teammate to check spam and company mail filtering. They must sign in with the same email address that was invited.
A teammate can see the workspace but not the group
Check the group’s visibility and membership. A private group requires group membership. A workspace-visible group may be readable by workspace members, but editing records still requires the appropriate group and workspace access.
A teammate can see records but cannot edit them
Check both roles. A workspace Viewer cannot edit workspace content. An Editor may still need the correct group role. Group viewers can read permitted content but cannot change records, views, or charts. Ask an administrator or group administrator to update access where appropriate.
The Contacts import option is unavailable
The spreadsheet importer becomes available after the starter Contacts group and Contacts table have been prepared. Wait for workspace preparation to finish and reopen the onboarding step or group view. You can also skip onboarding and import later from the Contacts group.
Imported records look wrong
Stop before importing more data. Check the field mapping, required fields, dates, numbers, selection values, duplicate handling, and record relationships. Compare several imported records with the original file. For a large migration, keep the original file and contact support before trying a corrective bulk import.
The starting workspace contains example records
That is expected for a newly created workspace using the starter CRM template. Treat those records as examples, not real prospects. Review the starter groups and fields, then update or remove example records before using the workspace for live outreach.
I chose the wrong onboarding answers
The role, industry, team size, data source, and acquisition answers personalise the starting workspace; they do not define your sales process permanently. Update workspace details in Settings → Workspace, members in Settings → Members, and your groups, fields, and views from their own settings. Change mailbox choices separately in Settings → Mailbox.
An optional connection or import did not finish
Check the task or status shown after starting the connection. A contacts import can continue in the background. For a mailbox problem, use Mailbox Integration rather than repeating the whole workspace setup.
Privacy and safety
Invite only people who need access. Use private groups for sensitive internal information and shared groups for work the team must manage together. Check imported data before using it for outreach. Review generated notes, summaries, and suggested record changes before attaching or sharing them.
Tell people when a conversation is being recorded and follow the consent, privacy, retention, and customer-communication rules that apply to everyone involved. Keep an untouched copy of important migration files until the imported records have been verified.
