Features

Features is the one page that shows what your workspace can do and lets you switch it on. Every feature has a card. Choose Set up, answer a few questions, and try the result the way your customers will see it. Most features take about a minute.

You never have to know where a setting lives. The guided setup finds what is missing, helps you add it, fills in sensible answers, and takes you to the finished result.

Use cases

Situation What to do
Customers keep emailing to ask for a time Set up Booking pages and share the link.
You want website enquiries to arrive as contacts Set up Form and pick Questions and messages, Call-back requests or Newsletter sign-ups.
You write quotes by hand from every deal Set up Documents and signing and make a quote from a deal in one click.
Customers should find answers without calling Set up Customer portal with your help articles, a contact form and a booking page.
Support@ is read by one person only Set up Shared mailbox so the whole team answers in the Team Inbox.
You just finished onboarding and wonder what to do next Open Features and work down Picked for your business.
A card says Needs attention Open Manage on that card, or check Settings → Needs attention (admins).
You want a shorter or different sidebar for the team Use Arrange sidebar (admins).

Before you begin

  • Everyone in the workspace can open Features from the main sidebar. It is always there, under your shortcuts.
  • Most features can only be set up by an admin. On a card you may not set up, the app says Ask an admin to set this up.
  • Shared mailbox and API can also be set up by an editor. The apps in Your apps and tools (Meeting Assistant, Chrome extension, AI assistant) are for everyone.
  • A feature that has been switched off for your workspace has no card. Nothing you created is deleted when a feature is off.

What the page looks like

The page is titled Features, with the line “Switch on what helps your team. Each one takes about a minute to set up.” Admins see Arrange sidebar at the top right.

Cards are grouped under headings:

  • For your customers
  • Your apps and tools

Other headings (For your team and Automations) only appear when a feature belongs under them. The Shared mailbox card is listed with the customer features, because it is how customers reach your team.

Each card has a picture of the feature, its name, a short description, and buttons. Some cards carry a small Beta label: it means the feature works today and is still improving. A round play button on a card opens See how it works, a short video, when one exists.

The cards

For your customers, in this order:

Card What it is for Button
Support Answer customers by chat, help center and email from one set of answers. Open
Booking pages Let customers book time with you, straight into your calendar. Set up
Form A form on your website that adds new people to your contacts. Set up
Documents and signing Turn a deal into a quote or agreement, send it to sign online and see who still needs to. Set up
Shared mailbox Answer support@ or sales@ together in the Team Inbox, without sharing a password. Set up
Templates Start from a ready-made setup for your kind of business. Open
Customer portal A page for your customers with help articles, forms and bookings, public or behind a sign-in. Set up
Lead database Find new companies and contacts that fit your customers and add them in one click. Open

Your apps and tools, in this order. These belong to each person, not to the whole workspace:

Card What it is for Button
Meeting Assistant Takes notes in your meetings and writes the summary and next steps. Download
Chrome extension See and save companies and people from any website into your records. Download
AI assistant Ask Claude, ChatGPT or another AI assistant about your records and let it update them. Open
API Let your own scripts and tools read and update your records. Open

The web agent is not a card of its own. You set it up from Support, on its Web agent tab (see Web agent). E-signature is set up from the Signing tab of Documents (see E-signature), or from the Picked for list below.

What each button does

You see What it does
Set up Starts the guided setup.
Add another Starts the guided setup again, for features where you can have several (booking pages, forms, documents, customer portals).
Manage Opens the feature’s own settings. It appears once something is set up.
Open Goes straight to the page.
Download Goes to the page where you get the app for your computer.
Ask an admin to set this up. You are not allowed to set this feature up.

Next to the buttons, a card shows how much is set up: for example “2 set up”. For the personal apps it says how many teammates use it, for example “Used by 3 people on your team”.

Live and Needs attention

A card with something set up shows a label in its top corner. A card that is not set up shows no label.

Label When you see it
Live Booking pages: a guest can really book someone. Form, Customer portal: at least one is switched on. Documents and signing: you have at least one quote. Shared mailbox: a shared address is connected. Meeting Assistant, Chrome extension, AI assistant: you have used it. API: you have made a key.
Needs attention You created it, but it cannot work right now. A booking page whose host has no connected calendar or hours, or whose pages are all switched off. A form or customer portal that is switched off.

When a card says Needs attention, choose Manage and fix it there: connect the host’s calendar, add working hours, or switch the form or portal back on.

Picked for your business

When you finish onboarding, the page starts with Picked for and your business name. It lists the features chosen for the way you work, In the order you’ll need them, each with a short reason. Below it, All features shows every card.

  • Anything you put off in onboarding comes first: Bring your customers in (button Import) and Connect your email (button Connect). Connecting your own mailbox removes that line.
  • Each other row shows Not on yet or On. Choose Turn on to start the guided setup, or Open once it is on.
  • Some rows are pages with nothing to switch on, such as Find leads. They only have Open.
  • Watch … story again replays the short story shown at the end of onboarding.
  • A small number on Features in the sidebar counts the picked features not yet on, until you open the page.

Set up a feature

Every feature uses the same guided setup. It has up to three steps, shown at the top of the window: Get ready, Make it yours, Try it.

  1. On the card, choose Set up.
  2. Get ready appears only when something is missing. Each missing thing has a title, one sentence about why it is needed, and one button to fix it. See the table below.
  3. When a fix opens another tab (such as your mailbox settings), do it there and come back. The window shows “Finish it in the other tab. We’ll notice when you’re back.” It checks again by itself when you return. You can also choose I’ve done it.
  4. When everything is ready it says All set. You have everything it needs. Choose Continue.
  5. Make it yours asks a few questions, already filled in with what the app knows: your business name, your time zone, wording in your language. Less common choices are under More options. For the web agent, a Preview shows how it will look.
  6. Choose Set it up. If an answer needs another look the app says “Some answers need another look.” and marks the question.
  7. The window says It’s live. Choose Try it, Open settings, or Done.

Back returns to the previous step. Cancel closes the setup. If your answers need something new (for example you switch on a contact page but have no form), Set it up takes you back to Get ready to add it.

What can be missing

Missing Why it is needed Button
Add a contacts list New people from forms and bookings are saved as contacts. Add contacts adds it right away.
Add a sales pipeline Quotes and agreements are made from deals. Add the sales pipeline adds it right away.
Add help pages Help articles and the web agent answer from your public help pages. Add help pages adds them right away. If you already have them, the button is Write your first page and opens them in a new tab.
Connect your email and calendar Bookings land in your own calendar and invites come from your own email. Connect Gmail or Outlook opens the mailbox settings in a new tab.
Connect a shared address A shared mailbox needs a signed-in team address. Open mailbox settings opens it in a new tab.
Set up a form / Set up a booking page A customer portal’s contact page and booking page show them. Opens that feature’s own short setup on top of this one. When it is done you are back where you were.
Install the desktop app / Add the extension to Chrome The app must be installed and used once. Download the app / Add to Chrome opens the download or the Chrome Web Store.
Connect your AI assistant Copy the address from settings into your assistant and ask it something once. Show me how opens the settings.

A booking page needs your own connected mailbox. A shared team address does not count, and neither does a mailbox that needs to be reconnected.

What each setup asks and what Try it opens

Feature Questions Try it opens
Booking pages Meeting name (your business’s own name for a first meeting, or “Intro call”). How long? 15 minutes, 30 minutes, 45 minutes or 1 hour. When can people book you? Weekdays 9:00 to 17:00, 8:00 to 16:00 or 10:00 to 18:00. Under More options: Time zone (yours is filled in) and Description. Your booking page in a new tab, as a customer sees it.
Form Title (starts as “Contact us”). What’s it for? Questions and messages, Call-back requests or Newsletter sign-ups. Under More options: Thank-you message. The form in a new tab, as a visitor sees it.
Documents and signing (quote) Name (starts as “Quote”). Under More options: Opening words and Terms. A deal on its Files tab, where you make the quote.
E-signature Agreement: Ready-made agreement or Upload your own agreement. If you upload, Choose a PDF. Name (starts as “Agreement”). You sign too (on by default). Under More options: Agreement text, for the ready-made one only. A deal on its Files tab. For an uploaded PDF, the page where you check where everyone signs.
Customer portal Name (starts as “Help center”). Switches for Help articles (on), Contact form and Booking page. At least one must be on. The portal in a new tab, as a customer sees it.
Shared mailbox Which shared address?, the one customers already write to, such as info@. The Team Inbox.
Web agent Name, Tone of voice (Friendly, Professional, Playful or Brief), First message. Under More options: Color and House rules. The chat page in a new tab, as a visitor sees it.
API Key name. The page with your keys. The key appears in the window once, with a copy button.
Meeting Assistant, Chrome extension, AI assistant Nothing. Getting the app ready is the whole setup. Nothing to try. Choose Open settings.

Facts that apply:

  • Booking pages: you are the host. If you have already set your working hours, they are kept and the hours you pick are ignored. Otherwise the hours you pick apply Monday to Friday in your time zone. Everyone who books is saved as a contact.
  • Form: it is placed in the first group that shows your contacts. A newsletter form asks for a first name and an email address. A contact form also asks for a last name, a phone number and a message. Email and phone are required where the form asks for them.
  • Documents and signing: the quote is built from the deal, with the customer, products and total filled in by the app. If you have no deals yet, Try it opens the group instead.
  • E-signature: with You sign too on, your team signs after the customer, so both sides have a signed copy. An uploaded PDF stays exactly as it is, and the places to sign are added at the end where you can move them. Only PDF files are accepted: “That file isn’t a PDF.” or “Couldn’t upload the PDF. Try again.”
  • Customer portal: help articles show the pages you have marked public. It is switched on as soon as it is made.
  • Shared mailbox: connecting the address happens in mailbox settings, where you also choose who can use it. See Shared mailboxes.
  • API: the key is shown only in this window. Copy it before you close it. Keys are listed and removed in settings. See API.

The apps and tools cards normally skip the guided setup. Download and Open go straight to the right page. You only meet their guided steps from the Picked for list.

After setup, an admin may also see Add to sidebar in the last step, for Booking pages, Form and Documents. It adds the shortcut for the whole team and then says In everyone’s sidebar.

For the full details of each feature see Booking pages, Forms, Documents, Help center, Web agent, Meeting Assistant, Chrome extension and AI assistant.

Manage a feature later

Choose Manage on a card. It opens the feature’s own settings: Meetings for booking pages, Forms for forms, Portals for customer portals, Documents for quotes and agreements, mailbox settings for shared mailboxes, and your keys for the API. To make another one, choose Add another on the card.

Needs attention (admins)

Separate from the card label, Settings → Needs attention lists things that kept working but should be pointed somewhere new, because a group or a person was removed. Admins see a count beside it in the Settings menu.

Each line shows the kind of thing (for example Form, Booking page, Website chat, Portal, Dashboard, Email template, Automation or Shared inbox), its name, the reason, and Since the date. Choose Fix it to go to the right place. A line leaves the list once it is fixed. The page looks fresh each time you open it. When nothing is wrong it says All good.

Reason you may see What to do
Its group was deleted. New entries go to Unsorted until you choose another group. Choose another group in its settings.
Its group was deleted. Only admins can see it until you place it in another group. Place it in another group.
Something it uses was removed. It still works, but check its settings. Open it and check what it points to.
The person who made it left or can no longer edit, so it’s paused. Open it and save it to take it over.
Everyone who hosted it has left, so guests can’t book it. Choose a new host to switch it back on.
The person who set it up left. It still works for your team. Check who answers it.

Entries for some kinds of thing have no Fix it button because there is no single place to fix them.

Choose what appears in the sidebar (admins)

You choose the shortcuts the whole team sees in the main sidebar, and their order. Features and Settings are always there.

  1. Choose Arrange sidebar, at the top right of Features, or in Settings → Sidebar.
  2. The real sidebar turns into an editing panel: “Your whole team sees this sidebar.” and “Hiding a shortcut doesn’t turn anything off.”
  3. Drag a shortcut to move it. Choose the eye on a shortcut (Hide from sidebar or Show in sidebar) to hide or show it.
  4. Choose Add to bring in a shortcut that is not there. If everything is already there it says Everything is already in the sidebar.
  5. Choose Done to save it for everyone, or Cancel to put it back. If saving fails nothing changes and you are asked to try again.

The shortcuts you can place are Assistant, Activity, Email, Autopilot, Find leads, Reports, Support, and Meeting Assistant (only on the desktop app and on phones and tablets). Meetings, Forms and Documents become available once you have set them up. A brand-new workspace starts with Assistant, Activity, Email, Autopilot and Reports.

Teammates see the new sidebar without reloading. A hidden shortcut is not turned off, and every feature still opens from its card on Features.

Settings → Sidebar shows the current list with Shown or Hidden beside each shortcut, and the Arrange sidebar button.

Limits and defaults

  • Names: web agent 60 characters, form title and quote or agreement name 200, booking page name 100, API key name 100.
  • Customer portal: at least one of Help articles, Contact form and Booking page must be on.
  • Sidebar: up to 100 entries.
  • A new booking page defaults to 30 minutes and Weekdays, 9:00 to 17:00. A new web agent defaults to the Friendly tone.

Troubleshooting

A feature has no card

It may be switched off for your workspace. Ask an administrator. The page can also show “Nothing to set up yet” when nothing is available, or “Couldn’t load features. Try again.” if the page did not load.

The card says “Ask an admin to set this up.”

Your role does not allow it. An admin can set it up, or can make you an admin.

The setup keeps returning to Get ready

Something it needs is still missing. Follow the button in that step. If you already did it in another tab, choose I’ve done it. For a booking page, make sure the mailbox is your own and is connected, not a shared address.

“That didn’t work. Try again.” in Get ready

Adding contacts, the sales pipeline or help pages failed. Try again.

“Couldn’t open the setup. Try again.”

The setup could not load, or you are not allowed to open it. Close and try again, or ask an admin.

A booking page card says Needs attention

No guest can book anyone right now. Choose Manage and check that the host has a connected calendar and working hours, and that the booking page is switched on.

I lost my API key

It is shown only once. Make a new key and remove the old one in your key settings.

I cannot arrange the sidebar

Only admins can change what the whole team sees. The button is not shown to anyone else.

A shortcut is missing from Add

Meetings, Forms and Documents only appear after they are set up. Meeting Assistant only appears on the desktop app and on phones and tablets.
