Use cases

Reports turn the information in your workspace into a quick view of sales activity and business performance.

Situation Report that helps
A founder wants to know where deals are stuck A funnel showing the number of opportunities at each stage.
A small sales team reviews ownership A horizontal bar ranking revenue or value by owner.
Outreach sources are being compared A pie or donut chart showing revenue by source.
The team reviews monthly performance A line or area chart showing revenue or work over time.

Getting Started

Before creating a report, make sure:

  • You have an editable group with a view for the object you want to measure.
  • The object has useful fields, such as a sales stage, amount, owner, source, status, or date.
  • You have permission to create reports for that group. Report creation is available to members with an editable group; renaming or deleting a report is restricted to the group administrator.

Create a report

  1. Open Reports from the workspace sidebar.
  2. Select New report.
  3. Enter a report name.
  4. Under Report About, choose the group.
  5. Under Report On, choose the object/table in that group.
  6. Select Create report.

The new report opens with no charts. Add one or more charts to give the report a useful purpose.

Add a chart from a template

  1. Open a report and select New Chart.
  2. Choose what you want to understand: Sales, Finance, Leadership, or Operations.
  3. Choose a template, such as Pipeline by stage, Revenue by source, Revenue trend, Largest customers, or Work by status.
  4. Choose a compatible group.
  5. Choose the object in that group.
  6. Review the preview and select Add chart or the template’s apply action.

The template is available only when the object has the field types it needs. For example, a pipeline template needs a select field such as Stage or Status; a revenue trend needs a number field and a date field.

How to use it

Build a chart from scratch

Choose Build a chart from scratch when a template does not match your sales process.

  1. Select the group and object.
  2. Choose a Chart type.
  3. Choose the Measure.
  4. Select a Measure field when using Sum or Average.
  5. Choose View by when the chart needs a category or date.
  6. Add a second Group by field for grouped or stacked bars.
  7. Add filters to limit the data.
  8. Review the preview and select Save.

Changes to the group or object clear the field choices and filters, so choose them first.

Choose a chart type

The builder offers these chart types and presentations:

  • Metric: one headline number, such as open opportunities or total revenue. A target gauge can show progress toward a target.
  • Bar: compare categories such as stages, sources, or owners.
  • Horizontal bar: rank categories when labels are long, such as account names.
  • Grouped bar: compare two category dimensions side by side.
  • Stacked bar: compare a main category with a second breakdown.
  • Pie or Donut: show how a whole is divided across a small number of categories.
  • Line or Area: show movement over time.
  • Funnel: show counts or values across an ordered sales-stage field.
  • Table: show chart results as rows for a detail-oriented review.

Use one clear question per chart. A metric answers “how much?”, a bar answers “which category is larger?”, and a line answers “how is this changing over time?”

Choose a measure

  • Count: count records, such as the number of open deals.
  • Sum: add a number field, such as deal value or revenue.
  • Average: show the average of a number field, such as average deal size.
  • Ratio: compare two values in a metric. Ratio is available for metrics, not for other chart types.

Sum and Average require a numeric field. A chart that groups by a category or date also needs a View by field. Grouped and stacked bars need both View by and Group by fields.

Configure categories, time, and sorting

For a category field, choose whether to sort by field order/A–Z, reverse field order/Z–A, highest value first, or lowest value first.

For a date field, choose a time bucket: Day, Week, Month, Quarter, or Year. Use Month for a small-business monthly review; use Week for active outreach; use Quarter or Year for longer-term leadership reporting. The buckets are ordered chronologically by default. In Sort by, choose Field order / A–Z for oldest to newest or Reverse field order / Z–A for newest to oldest. For a date axis, Highest value first and Lowest value first change the date direction rather than ranking buckets by the measure.

For a funnel, choose whether the first stage or last stage appears at the top. Make sure the selected field represents an ordered process, such as New → Qualified → Proposal → Won.

Add filters

Use Filters to narrow a chart to the question you are asking. Examples:

  • Stage is not Closed for an active pipeline view.
  • Owner is a specific salesperson for a coaching review.
  • Created date is within the current month for outreach reporting.
  • Source is a particular channel for campaign comparison.

Review every filter in the preview. If a filter is invalid, correct or remove it before saving. A chart can show No data to display when the filters exclude every record.

Maintain a report

  • Use the report chooser to switch between reports.
  • Use the report menu to rename or delete a report when you are a group administrator.
  • Select a chart’s controls to edit or delete that chart.
  • Use the group’s sharing controls to manage who can see the report’s underlying group data.
  • Keep a small report focused. For an under-20-person team, three to five useful charts are usually easier to act on than a wall of numbers.

Reports do not open the underlying records directly. To investigate a result, open the relevant object view and apply filters that match the chart. Review the filtered records before taking action.

Troubleshooting

I cannot create a report

  • Enter a report name.
  • Choose both a group and an object.
  • Make sure the group contains a view for that object.
  • Ask the group administrator or workspace administrator for edit access.

I cannot add a chart

  • Check that you are an editor or administrator of the group.
  • Choose an object with the required fields.
  • For a template, choose a group and object marked Ready to use.
  • For a custom chart, complete all required fields before saving.

The template I want is unavailable

The object may not have the needed field type. Add or configure the missing field—for example, a number field for revenue, a select field for stage/status, a date field for trends, or a single owner/person field for rankings—then try again. An editor can update object fields.

The chart preview is empty

  • Confirm that the object contains records.
  • Remove or broaden filters.
  • Confirm that the chosen measure field contains numbers.
  • Confirm that the View by field has values.
  • For a date chart, check that records have dates in the selected period.

The chart is invalid after I changed a field

Changing the object or chart type can make an earlier field choice unsuitable. Re-select the Measure field, View by field, Group by field, and time bucket, then check the preview before saving.

A chart does not show every record I expected

Review the saved filters and the group/object selected for the chart. A chart measures the selected object in the selected group context; records outside the filter or without the required values may not contribute to the result.

I cannot rename or delete a report

Those actions require group administrator access. Ask the group administrator to make the change. Deleting a report removes the report itself; it does not delete the underlying records.
