Settings: Profile, Organization & Duplicates
Use cases
These settings keep a small team’s workspace consistent and safe to maintain.
| Situation | Setting to use |
|---|---|
| A new teammate needs a recognizable profile | Add their name and profile picture in Profile. |
| Reports should use the team’s language and currency | Set the preferred language and currency in Organization details. |
| The business changes its name | An organization administrator can update the organization name. |
| An import created repeated contacts | Use Duplicates to review matching records before merging them. |
| A workspace is no longer needed | An administrator can use the danger zone, after confirming that all data can be removed. |
Getting Started
- Open Settings from the workspace menu.
- Choose Profile for your own details.
- Choose Organization or Workspace for shared organization details.
- Choose Duplicates to review repeated records by object.
Profile changes apply to your user. Organization changes affect the workspace and require administrator access.
How to use it
Update your Profile
- Open Settings → Profile.
- Enter your First name and Last name.
- Optionally select Upload picture. JPG, GIF, and PNG images are recommended; the upload limit is 5 MB.
- Choose your Preferred language if you want a personal language different from the organization default.
- Select Save changes.
Your email address is shown for reference and cannot be edited here. Names must be valid before saving.
Update Organization details
- Open Settings → Organization (the screen may be labelled Workspace in some navigation areas).
- Edit the Organization name.
- Choose the organization’s Preferred language.
- Choose the Preferred currency used for workspace values and reports.
- Optionally select Upload picture for the organization avatar.
- Select Save changes.
The organization name must contain at least two characters. Only an organization administrator can edit these settings. The organization language is the default; a member can choose a personal override in Profile.
Review duplicate records
- Open Settings → Duplicates.
- Select the object/table to review.
- Wait for the duplicate scan. Large objects may take a moment; results appear when the scan finishes.
- Review the summary showing duplicate groups and affected records.
- Expand a group to inspect the records before changing anything.
- Select Merge on one or more groups only when you are certain the records represent the same real-world item.
The duplicate finder looks for repeated values in supported single-value text fields and common identity fields such as name, and it can use a full name when first and last name fields are present. Results are scoped to records you can see. Use Load more when additional groups are available.
When records are merged, one record becomes the surviving record. Available field data, group membership, relationships, and linked activity are combined where possible; the other records are marked as deleted. Review important field values and links before merging.
Troubleshooting
I cannot save my Profile
- Enter both a valid first name and last name.
- Select Save changes only after the form reports no name errors.
- Use an image under 5 MB and one of the supported image formats.
- Refresh the page if the profile changed in another session.
I cannot change Organization details
You need organization administrator access. Ask an administrator to update the name, language, currency, or avatar. Members without that role can still change their personal profile language.
The currency or language did not change
Select Save changes and wait for the success message. Refresh the workspace if a report or record still shows the previous preference. A personal language override may take precedence over the organization default.
No duplicate records were found
The selected object may not contain repeated values in the supported fields, or you may not have access to the records. Confirm that you selected the right object and refresh the scan after the latest import finishes.
The duplicate scan is still running
Wait for the scan to finish; large objects can take longer. If it remains stuck, refresh the Duplicates page and ask an administrator or support to check the workspace.
A duplicate group contains records that are not duplicates
Do not select that group for merging. Expand the group and compare the names, emails, companies, and other fields. The scan is a review aid, not an automatic decision.
I merged records by mistake
Stop making further changes and ask an organization administrator or support for help immediately. Merging changes record links and marks the source records as deleted; recovery depends on the workspace’s deleted-record retention and available backups.
I want to delete the organization
Only an administrator can open the danger zone. The confirmation requires typing Delete exactly. Deleting permanently removes the organization and its tables, records, and member access; use this only when the data is no longer needed.
