Activity & Notifications
Use cases
Activity helps a small team notice work that needs attention without checking every record.
| Situation | How Activity helps |
|---|---|
| A teammate mentions you in a note | Find the mention under Unread, open the linked record, and take the next action. |
| A shared process updates a record | Review the activity message and open the related record or note from the notification. |
| You return after a busy day | Switch to All to review the wider history, not just unread items. |
| You need a follow-up list | Open Reminders to see overdue, today, tomorrow, recurring, and completed items together. |
| You work away from the app | Enable email notifications so important mentions and involvement can also arrive by email. |
Getting Started
- Open Activity from the workspace sidebar.
- The default view is Unread activity.
- Select a notification to read it. Mentioned records and messages are links you can open.
- Select Mark all as read when you have reviewed the current list.
- Open Reminders to manage scheduled follow-ups from the same area.
- Turn on Email Notifications in the Activity header if you want important updates delivered by email as well.
Email notifications are off by default for a new workspace member. Turning them on does not change the in-app activity list.
How to use it
Read unread and all activity
Use the filter menu in the Activity header to switch between:
- Unread: notifications after your last-read point.
- All: the available notification history, including items you have already reviewed.
The sidebar badge and the Activity header show the number of items to review. Select Refresh to check for new activity. Older items load as you reach the end of the list.
Open the useful context
Notifications may include a teammate, record, or message mention. Select the linked item to open it. Use that context to update the record, reply to the note, send the next email, or complete the related reminder.
Some activity is generated by the system rather than by a person. Treat the message itself as the source of what changed, then open its linked record or message for details.
Mark activity as read
Review the current items, then select Mark all as read. This moves your personal last-read point to the newest item currently loaded. It does not delete notifications, remove them for other members, or change the underlying record history.
If you are on Reminders, the Mark all as read action is unavailable because that tab is a task list rather than a notification list.
Enable or disable email notifications
- Open Activity.
- Find Email Notifications in the header.
- Turn the switch on or off.
- Wait for the setting to finish saving.
When enabled, email delivery is used for important updates such as being mentioned or involved. In-app notifications remain available. Turn the switch off when you want to keep updates only inside the workspace.
Troubleshooting
I cannot find a notification
- Check whether the filter is Unread or All.
- Select Refresh.
- Scroll to the bottom to load older activity.
- Confirm that you are in the correct workspace and signed in as the intended member.
- If the notification refers to a record, it may be hidden because your access to that record or group changed.
The unread count did not change
Select Mark all as read, then refresh. The count is based on your personal last-read point; another member’s read state does not affect yours.
I marked activity as read too early
Switch to All to review the available history. Marking items as read does not delete them.
I am not receiving email notifications
- Check that Email Notifications is switched on in Activity.
- Wait for the setting to finish saving, then refresh.
- Check the mailbox’s spam or filtering rules.
- Make sure the workspace account email address is current.
- If the in-app notification is present but no email arrives, ask an administrator or support to check email delivery.
I receive too many emails
Turn Email Notifications off in Activity. You can continue using Unread activity and the sidebar badge for in-app updates.
Reminders are not showing in Activity
Select the Reminders tab and refresh. Check the reminder’s audience: private reminders are visible only to their owner, while selected-member reminders are visible to the chosen members.
