Fiken Integration

Use the Fiken connection to bring your customer and supplier directory into the CRM and keep accounting context available during sales work. It is useful when outreach, meetings, proposals, and follow-up are tracked in CRM records while invoices and products remain in Fiken.

The connection supports two directions:

CRM → Fiken Optional company and contact workflows send selected CRM changes to Fiken when records are created or updated.

The basic import does not copy Fiken invoices or products into CRM records. Those are read live or created through company-record actions.

Getting Started

Before you connect

Have ready:

  • Access to the CRM workspace and the Fiken company you want to connect.
  • Permission to order or enable Fiken’s API add-on.
  • Access to the Fiken login that can approve the connection.
  • A browser that allows the sign-in window to open.

The Fiken API add-on is free, but it must be enabled for the selected company before Fiken will allow company-scoped data access.

Turn on Fiken API access

Open Fiken in another browser tab and follow this menu path:

  1. Select Foretak.
  2. Select Innstillinger og abonnement.
  3. Select Abonnement og tillegg.
  4. Select Gå til tilleggstjenester.
  5. On the API card, select Bestill and finish enabling API access.

Connect Fiken

  1. During onboarding, select Import from Fiken, or open Settings → Integrations and select Connect on the Fiken card.
  2. Sign in to Fiken and approve the requested access.
  3. Select the Fiken company whose data should be used in this workspace.
  4. Complete the access check and connection flow.

One Fiken login can have access to several companies. Check the company name and organisation number before continuing.

Select automatic sync

After successful connection, the final screen may show:

  • Sync customer to Fiken for CRM company changes.
  • Sync contact to Fiken for CRM contact changes.

Turn on the workflows you want and press Continue. Fiken can remain connected and usable for import and record actions even when neither automatic workflow is selected.

Import data

Import during onboarding

  1. In the onboarding Contacts import step, select Fiken.
  2. Enable the Fiken API add-on, sign in, and choose the correct company.
  3. Select any automatic sync workflows on the final screen.
  4. Press Continue.
  5. Track the background import with the task indicator.
  6. Review the Companies and Contacts groups after completion.

Import from Settings

  1. Open Settings → Integrations.
  2. Find the connected Fiken card.
  3. Select Import data and confirm.
  4. Wait for the task to finish, then search the Companies and Contacts groups.

The import can be rerun. Fiken identifiers are stored on imported records so a matching record is updated rather than intentionally duplicated.

What the import brings in

  • Companies for Fiken customers and suppliers, including name, organisation number, email, phone, address, city, postcode, country, status, source reference, and customer/supplier categories.
  • Contacts for people attached to those companies, including name, email, phone, address, city, and country where available.
  • One company record when Fiken marks the same organisation as both customer and supplier; its categories are combined.
  • A link to the Fiken company or contact used by later imports, views, and sync workflows.

Fiken’s contact list can contain a contact who is both a customer and a supplier. The import keeps that contact once rather than intentionally creating two copies.

How to use it

Keep CRM records aligned with Fiken

The company workflow reacts to CRM company creation and updates. The contact workflow reacts to CRM contact creation and updates, but a contact must belong to a company before it can be sent to Fiken. The workflows map supported company or contact details and update the matching Fiken record.

They do not continuously poll Fiken for every change, and they do not automatically sync invoices or products. The manual import is the Fiken-to-CRM refresh path.

To enable a workflow later:

  1. Open Workflows from the workspace navigation.
  2. Find Sync customer to Fiken or Sync contact to Fiken.
  3. Turn on the switch and complete any activation prompt.

Turn the switch off to stop future automatic runs. Existing records are not removed.

Review Fiken information on a company record

  1. Open Companies and select a company linked to Fiken.
  2. Open the record’s Actions or Workflow panel.
  3. Select Views.
  4. Choose Customer’s invoices or Product catalogue.
  5. Select Refresh to read the latest data from Fiken.
  6. Expand an invoice row to review its line items when available.

The invoice view can show invoice number, date, amount, status, due date, and paid state. Expanded details can show item, quantity, unit price, and VAT. The product catalogue shows product name, product number, price, and stock information.

These are live Fiken views, not copied invoice or product tables in CRM. They require the company to have a stored Fiken customer reference; an unlinked company can return an empty view.

Create an invoice or product from a company record

  1. Open the linked company record.
  2. Open the Actions or Workflow panel and select Actions.
  3. Choose Create Fiken invoice or Create Fiken product.
  4. Review the form and submit once.

For an invoice, choose live Fiken products, quantities, invoice date, due days, and an optional customer message. You can choose whether to send the invoice immediately. Check Fiken after submission if you need to confirm its final status.

For a product, enter the product name, product number, price, VAT, description, and any available Fiken catalogue choices. The product is saved to the shared Fiken catalogue, not assigned only to the company record from which you opened the action.

Use Fiken in a sales process

  1. Import Fiken companies and contacts.
  2. Create a view for prospects or customers relevant to the next campaign.
  3. Capture email and meeting activity on the CRM company or contact.
  4. Review Fiken invoices before discussing renewal, outstanding work, or a new proposal.
  5. Create and optionally send the Fiken invoice after checking customer, products, dates, prices, VAT, and due days.
  6. Keep the commercial owner, stage, and next action in CRM.

Troubleshooting

Fiken says API access is missing

In Fiken, open Foretak → Innstillinger og abonnement → Abonnement og tillegg → Gå til tilleggstjenester, find the API card, and select Bestill. Return to the connection flow and select Retry. The connection checks company-level access before it finishes.

I selected the wrong Fiken company

Select Reconnect on the Fiken card, sign in again, and choose the correct company card. Check the organisation number before importing.

The sign-in window does not open

Allow pop-ups and new tabs, then return to Settings → Integrations and start Connect or Reconnect again.

The import completed but records are missing

Check the Companies and Contacts groups, confirm that the background task finished, and search by company name, organisation number, contact name, or email. Rerun Import data after correcting the selected company or API access.

A Fiken view is empty

Confirm that the company was imported from the correct Fiken company and has a Fiken customer link. Refresh the view and check that the connected Fiken account can read invoices or products.

A contact did not sync

Check that Sync contact to Fiken is enabled and that the CRM contact is related to a company already linked to Fiken. Link the contact and update it again. An unlinked contact is skipped.

An invoice or product action failed

Check the linked company, product, quantity, price, VAT, dates, and Fiken permissions. Check Fiken and the workflow result before retrying to avoid creating a second invoice or product.

I need to replace or reset the connection

Use Reconnect for the same Fiken account or an expired authorisation. To use a different Fiken company or login, review affected workflows, select Disconnect, then connect the intended company and choose the import and sync options again.

Privacy and safety

Connect only the Fiken company intended for this workspace. Review the company selection and imported records, approve invoices only after checking the details, and use Fiken for official financial records, payments, and approvals.
