Finago Integration

Use the Finago connection to bring your customer directory into the CRM and keep useful accounting context close to the company record. This fits a small-business sales process where outreach and meetings are tracked in the CRM, then proposals, invoices, and customer follow-up happen with the same company context.

There are two separate directions:

Direction What it does
Finago → CRM A manual import creates or updates CRM companies and contacts.
CRM → Finago Optional company and contact workflows send selected CRM changes to Finago when a record is created or updated.

Invoices, products, projects, and time entries are not part of the company/contact import. Finago information for those areas is read or created from actions on a company record.

Getting Started

Before you connect

Have ready:

  • Access to the workspace where the Finago data should be imported.
  • A Finago username and password with access to the intended identity or organisation.
  • A browser session that allows the connection window to open.
  • A decision about whether you want only the import or also want automatic CRM-to-Finago syncing.

Check the identity shown by Finago before continuing. The same login can expose more than one identity, and the selected identity determines which companies and contacts are imported.

Connect Finago

  1. During onboarding, select Import from Finago, or open Settings → Integrations and select Connect on the Finago card.
  2. Enter your Finago Username and Password.
  3. Continue so the connection can load the identities available to your login.
  4. Select the correct identity or organisation. Check the displayed company and user information.
  5. Complete the connection flow.

The connection uses a short-lived Finago session that the system renews automatically. You do not need to copy a session value into the CRM.

Select automatic sync

After connection, the final screen can show workflow switches:

  • Sync customer to Finago sends CRM company changes to Finago.
  • Sync contact to Finago sends CRM contact changes to Finago.

Select the workflows you want and press Continue. If you leave both switches off, Finago can still be connected and imported, but CRM changes will not be sent automatically.

Import data

Import during onboarding

  1. In the onboarding Contacts import step, select Finago.
  2. Complete the Finago connection and select any automatic sync workflows.
  3. Press Continue.
  4. The Finago import starts as a background task. Use the task indicator to follow it while you continue onboarding.
  5. When it finishes, review the Companies and Contacts groups.

Import from Settings

  1. Open Settings → Integrations.
  2. Find the connected Finago card.
  3. Select Import data and confirm.
  4. Wait for the background task to finish, then review the imported records.

You can safely rerun the import when Finago has new customers or contacts. The connector stores Finago record references and uses them to update matching CRM records rather than intentionally creating a new copy on every import.

What the import brings in

The import creates or updates:

  • Companies for active Finago companies, including names, organisation numbers, descriptions, websites, status, industry, categories, contact details, addresses, country, and available employee information.
  • Contacts for people associated with Finago companies, including names, job title, description, birthday, contact details, and country.
  • Company relationships for a person when Finago supplies one or more related companies.
  • The source reference needed to connect the CRM record to its Finago counterpart.

The exact fields depend on what Finago returns for each record. Invoices, products, projects, and hours are not imported into the CRM by this import workflow.

How to use it

Keep CRM records aligned with Finago

When enabled, the company workflow reacts to a CRM company being created or updated. The contact workflow reacts to a CRM contact being created or updated. They map supported identity and contact details, then update or create the matching Finago record.

The contact workflow needs a company relationship. If a contact is not connected to a company, it is skipped until you link it and update the record. These workflows do not automatically import every later Finago change, and they do not sync invoices, products, projects, or hours.

If you skipped the switches during connection:

  1. Open Workflows from the workspace navigation.
  2. Find Sync customer to Finago or Sync contact to Finago.
  3. Turn on the relevant switch and complete any activation prompt.

Turn the switch off to stop future automatic runs. Existing imported records remain in the CRM.

Review Finago information on a company record

  1. Open Companies and select a company linked to Finago.
  2. Open the record’s Actions or Workflow panel.
  3. Select Views when the panel separates views from actions.
  4. Choose the view you need and select Refresh for a fresh read from Finago.
  5. Expand a project or invoice/order row when details are available.

Available Finago views include:

View What it shows
Invoices & orders Order number, date, amount, and status. An expanded row can show items, quantities, unit prices, and VAT.
Products Product name, product number, price, and stock information from the Finago catalogue.
Projects & hours Project number, name, status, dates, time-tracking mode, budget hours, and description. An expanded project can show time entries, worked hours, invoiceable hours, approval, locking, and task information.

These views read live Finago data when run. If the company has no stored Finago customer reference, the view can be empty even when the connection itself is valid.

Create an invoice or product from a company record

  1. Open the linked company record.
  2. Open its Actions or Workflow panel and select Actions.
  3. Choose Send Finago invoice or Create Finago product.
  4. Complete the form, review all values, and submit once.

Send Finago invoice lets you enter the invoice date, product lines, quantities, prices, VAT, invoice template, and optional currency. Finago saves the invoice/order and handles delivery according to the selected template and delivery settings. Check the result in Finago if you need to confirm whether it was delivered.

Create Finago product adds one item to the Finago catalogue. It can include the product name, product number, price, VAT, descriptions, category, and optional cost, stock, barcode, or weight details. The product action is launched from a company record for convenience; the new product is not assigned only to that company.

Use Finago in a sales process

  1. Import Finago companies and contacts.
  2. Create a CRM view for the next outreach or follow-up group.
  3. Use email, meeting, or recorder activity to capture the conversation and next step.
  4. Review Invoices & orders or Projects & hours before a proposal or renewal conversation.
  5. Create the Finago invoice only after checking the customer, line items, pricing, VAT, and delivery settings.
  6. Keep ownership, sales stage, proposal status, and next action in the CRM.

Troubleshooting

Finago rejects my credentials

Check the username and password in Finago, then select Reconnect from Settings → Integrations and enter them again. If login succeeds but the required identity is missing, the Finago account may not have access to that organisation.

I selected the wrong identity

Select Reconnect, complete the login again, and choose the correct identity card before importing. Do not start another import until the selected identity matches the business you want in this workspace.

The import completed but records are missing

Check the Companies and Contacts groups, confirm the task finished successfully, and search by company name, organisation number, contact name, or email. If necessary, select Import data again from the Finago card. If the wrong identity was selected, reconnect first.

A company view is empty

The company must be linked to a Finago customer reference. Import the company from the correct identity or enable the company sync workflow and save a matching company. Then open the view again and select Refresh.

A contact did not sync

Confirm that Sync contact to Finago is enabled, that the contact belongs to a company, and that the company is linked to Finago. Update the contact after fixing the relationship. The contact workflow does not send an unlinked person by itself.

An invoice or product action failed

Check the linked company, required customer details, product, quantity, price, VAT, date, category, and Finago permissions. Check Finago and the workflow result before retrying so you do not create a duplicate invoice or product.

I need to replace the connection

Use Reconnect for the same Finago account or an expired session. To replace it with a different account or identity, review the affected workflows, select Disconnect, then connect the intended identity and choose the import and sync options again.

Privacy and safety

Connect only the Finago identity that belongs in this workspace. Keep your password private, review company and contact records after import, and check every invoice, product, tax value, and delivery setting before submitting an accounting action. Use Finago for official accounting approvals and records.
